What a good invoice needs

A clear invoice gets you paid faster. The essentials: who it's from (with your contact details), who it's to, a unique invoice number, the date and a payment due date, an itemised list of what you're charging for, the total, and how to pay. If you're VAT-registered, show your VAT number and the VAT amount separately. This tool lays all of that out for you in a clean, professional format you can hand to any client.

Numbering your invoices

Give every invoice a unique number and keep them in sequence — INV-0001, INV-0002, and so on. It keeps your records straight and looks professional. Many businesses prefix the year (2026-001). Whatever you pick, stay consistent.

Getting paid

State your payment terms plainly (“payable within 30 days”) and put your bank details right on the invoice so there's no friction. A professional email address on your own domain — rather than a free webmail one — makes the whole thing look more trustworthy, which genuinely helps slow payers take you seriously.

Common questions

Where is my data stored?

Nowhere but your own browser. This tool runs entirely on your device — your business and client details aren't sent to us or anyone else. Your “from” details are saved locally so you don't have to retype them next time; clear them with the Reset button.

How do I save it as a PDF?

Click “Download / Print PDF”. In the print dialog that opens, choose “Save as PDF” as the destination (every modern browser offers this). Only the invoice itself prints — none of the page around it.

Can I add VAT?

Yes — enter your tax rate (e.g. 20) and a label (VAT, GST, Sales tax). The tool calculates it on the subtotal and shows it as a separate line, the way it should appear on a compliant invoice.

A formatting tool for planning and presentation only — not tax or accounting advice. Requirements for a valid (especially VAT) invoice vary by country; check your local rules or your accountant before issuing. All figures are calculated in your browser; always double-check the totals.
